CHAPTER 1 INTRODUCTION: Computer technology has been widely used in different fields, nowadays; computer is the main system that is being used from large and wide scale manufacturing up to small scale industries. The defining feature of modern computers which distinguishes them from all other machines is that they can be programmed. That is to say that some type of instructions (the program) can be given to the computer and it will process them.While some computers may have strange concepts “instructions” and “output”, modern computers based on the von Neumann architecture often have machine code in the form of an imperative programming language.

In practical terms, a computer program may be just a few instructions or extension to many millions of instructions, as do the programs for word processors and web browsers for example. A typical modern computer can execute billions of instructions per second (gigaflops) and rarely makes a mistake over many years of operation.Large computer programs consisting of several million instructions may take teams of programmers, years to write, and due to the complexity of the task almost certainly contain errors. In recent times, the world has witnessed a rapid increase in technological innovations. This era ushered in the advent of the electronic computer system among other modern technologies. At present the computer technology has permeated nearly all aspects of human organizational roles and education. Computer encompasses almost all facets of human endeavors.

So much has been written on it and its relatedness to all areas of human disciplines, which include computer/information technology, engineering, agriculture etc. However, much work has not been done on computer and its application and relevance to education. This work aims to fill this gap, as it discusses it importance to the field of education. Today, computer technology in schools is one of the most far-reaching and fast growing developments in education. Like maize in a plantation during a storm, countries all over the world are bending towards the fad of computer education (Joseph, 1990; Madu, 1990; Macaulay, 1993).Development in science and technology has brought into lime light the indispensable roles of computer in the area of information technology. It is a new instructional system. The incursion of the electronic computer system into the educational parlance, according to Sherman (2005) provides the wherewithal to solve teaching and learning problems even more rapidly and accurately than hitherto conceived.

This has eventually made the computer system the doyen of humanity as it continues to exert greater acceptance. Computer, according to Jayesimi (1985), has become the ‘nowology’ in our society and possibly futuristic years ahead.In schools, computers are widely used; and the need for computer technology and literacy in the educational system has become more relevant.

Computer has been found to be an effective device for presenting an instructional programme. According to McCormick (1993), computers can be used to diversify, develop and improve the pedagogical relation of teaching and learning. Also, technological development can only be enhanced through proper acquisition of scientific knowledge: which can only be realized through relevant training in Science, Mathematics and Computer Education.It is quite frustrating to discover that for a country that claims to be a top user of mobile phones and computer technology, we still cannot apply the use of the computers in the important procedures that we use to educate the young minds. In one day, we send out more than billions of text, photos and video messages but our own people cannot create and use a system that can monitor and guide the education of our youth who we consider as the hope of our country’s future.

We mostly use the technology for entertainment instead of using to a more fruitful cause.Our people are smart enough to entertain it but our people, especially the old generation, are not determined enough to use it on a proper way. 1. 1 BACKGROUND OF THE STUDY Mach Rench Christian Learning School was founded by the current school’s principal, Marilyn Fernando, in 2001 and its first location was Violet St.

Rainbow Village Angono, Rizal. It started teaching pre-school students and during that time, the main goal of the faculty members is to discover and develop the natural skills and talents of its pupils while harnessing their intellectual prowess through intensive guide and knowledge of the teachers.For over four glorious years of the school, it went and it grew bigger; however, the operation of the school had to stop in 2005 in order to give way to a brighter future which has dawned in 2009. The school started operating again in that year and it moved to a bigger and better location in Quezon Avenue corner Rainbow Village Angono, Rizal. From teaching pre-school students, it’s now offering curriculum for kindergarten and elementary students up to Grade 6.Since it went back to operation in 2009, the school focused in providing good quality of education and preparing their students for a much better future that’s why in the summer of 2011, it gave birth to its first alumni. Mach Rench Christian Learning School faces the same problem as other starting schools in the country when it comes to modernization of system specially administrative systems to accomplish tedious tasks that includes enrollment system, payroll system and student records.

But the school still tries to compete with other leading private schools using the faculty’s skills and knowledge that’s the reason in spite of the problems that they are facing; they still managed to be in line with other top performing schools in the region. At the moment, they are still using old fashioned paper-file system for keeping student records, payroll and enrollment system. Most documents are typewritten and filed in paper folder. Important data which the district officer of the Department of Education (DepEd) needs for their evaluation reports such as enrollment, attendance and transfer rate are recorded and retrieved manually.In order to get the required data for the reports, the teachers often need to search and write down again the data they gathered from the enrollment of throughout the school year.

First time enrollees follow the old procedure of enrollment, they need to go to the school on a certain date, pass the necessary documents and they also need to take the entrance exam, while transferees need to pass their previous school report card and certificate of good moral character from their old school. Returning students need to pass their school card and clearances. 1. 2 STATEMENT OF THE PROBLEM General ProblemMach Rench Christian Learning School uses a manual system that makes the enrollment a tedious task for the students, administration and faculty. The process is time-consuming and has a lot of errors due to inaccuracy data processed. Multiple data is also not secured and it’s prone to being lost and fraudulent activity. There is also a possibility that the data is inaccurate making it impossible to determine the true state of the student’s payment.

Specific Problem The interviews and research made by the programming students involved helped in pin-pointing issues that this study will rectify the problems.They are as follows: I. The records were made manually therefore; it makes the data outdated and inaccurate. II. Manual system makes the data hard to access when it’s needed and it uses bunch of papers to be passed around and kept in different areas which generates a lot of errors and possibly illegible information. III. The data is exposed to fraudulent activity and can be lost due to low security.

1. 3 OBJECTIVE OF THE STUDY General Objective The general objective of this study is to offer the school with a modernized and computer-based enrollment system.With this innovation, it will surely improve the efficiency of the enrollment process. The proponents’ goal is to make the Mach Rench Christian Learning School enrollment system shorten the time required, provide accurate database and secured information. Specific Objective The interviews and research conducted by the proponents helped in pin pointing these exact areas that this study aims to focus on: I. To provide a computer-based system that will help the school in keeping and maintaining updated records. II.

To lessen the amount of time that they spend on the enrollment process.III. To provide an integrated system that will ensure that the multiple data about enrollment are accurate.

IV. To make sure that the data is highly secured and will not be exposed to any form of falsification or fraudulent activity. 1. 4 ASSUMPTION Specific Assumption The proponents aim to achieve the following outcomes with their study: I. The school will have efficient enrollment system that will lessen the time that it takes to be a student of the school. II.

An environmental friendly enrollment process because the enrollment system will reduce the needs for paper. III.Accurate and updated information the enrollment system will automatically do the job for payment and data storage.

IV. The data about enrollment will be highly secured because the system can only be accessed by the administrator. 1.

5 SCOPE AND LIMITATION The proponent’s research and study will focus on innovating and improving the enrollment process of Mach Rench Christian Learning School. The enrollment system is a single-unit application that can handle enlisting of incoming new and old students. This integrated system will also be capable of auto-updating the student’s payment status.Each student will have its own unique student identification number for record-keeping purposes. The system will be responsible for storing enrollment records, assigning student’s schedule and list of school fees. The faculty will be given usernames and password to ensure that the multiple data stored are highly secured. With this, the staff will be able to update the record real time for schedule availability and payment status of the students.

The proposed system can work hand-in-hand with the traditional method of enrollment and even with a pilot trial on one unit; a great improvement in data accuracy and efficiency is highly expected.Errors and discrepancies in the reports produced are no longer inevitable since the data entered into the system is no longer passed and repeatedly copied into different pieces of paper, lessening the possibility of inaccuracy due to human error. The system will be capable and responsible in generating records of a student’s existing and enrolled schedule and student fees. Reports and data can always be generated from this system. Since this modernized system is computer based, it will be highly secured and can only be accessed by authorized administrators.It will make the student’s payment records stored in the database and can be accessed and be updated anytime by the administrator’s own access. The system will also have user-privilege or user-levels which will limit the amount of activity the users have on the system depending on need.

The scope of this study will be strictly what has been stated above. Accounting, billing and organizing student’s schedules will be the sole responsibility of the system. Database A systematically arranged collection of computer data, structured so that it can be automatically retrieved or manipulated.Data processing Entering, storing, updating and retrieving of information using a computer.

Desktop Database A visible portion of a software program that forms a background on which icons representing equipment, programs, and files are displayed. Program A list of instructions in a programming language that tells a computer to perform a certain task or set of coded operating instructions that is used to ruin a machine automatically.SQL (Computer language) A standardized language that approximates the structure of natural English for obtaining information from database. Microsoft Visual Basic 2010 (Programming language) A programming language interface designed by Microsoft Corporation to allow users to modify code written in the simple programming language known as Basic. Visual Basic seeks to alleviate the extensive programming knowledge required to develop complex applications. This programming language does have the capability of creating executable files and ActiveX controls.

Database This is where data are stored for future use and likely to be seen on computers used for querying data of large business establishments. Data Processing A way of editing stored or computer data to be used on various tasks like data retrieval and printing. Desktop Database A part of the computer system most likely to be seen displayed from the monitor that displays different icons and buttons for stored programs or software on the computer.

InternetThis is the advancement in computer and networking technology used to connect to remote computer servers and even sites with the purpose of data sharing and retrieval. Program An application developed using a computer used to do certain tasks that it was designed for. SQL A set of commands used for any querying process to retrieve data from a remote database or computer system.

Microsoft Visual Basic 2010 (Programming language) A programming language that posses the characteristics of being object oriented and independent from other programming languages. CHAPTER II REVIEW OF THE RELATED LITERATUREThis part of the paper consists of various related literature and studies about computerized enrollment system. It includes articles (both published and unpublished materials), books as well as internet sources. 2. 1 Related Literature Every piece of ongoing research needs to be connected with the work already done to attain an overall relevance and purposes. Information system projects sometimes are initiated to improve the accuracy of the processing data or ensure that a procedure prescribing how to do specific task is always followed.India’s higher education system is the third largest in the world, after China and United State. The main governing body at tertiary level is the University Grants Commission. Which enforces its standards, advises the government, and help coordinate between the centre and the state? Accreditation for higher learning is overseen by 12 autonomous institutions established by the University Grants Commission. As of 2009, India has 2 central university 215 state universities, 100 deemed universities, 5 institutions established and functioning under the state act, and 13 institutes which are of national importance.

Other institutions include 16000 colleges, including 1800 exclusive women’s colleges, functioning under these universities and institutions. The idea behind an enrollment system is not a new concept. al in their undergraduate feasibility study entitled “A Proposed Computerized Enrollment System for Pamantasan ng Lungsod ng Valenzuela”, the case study stated that the school’s enrollment process are time consuming, redundant student records, and has a slow retrieval of student records. Similar with the stated problem of manual enrollment system at Canumay National High School the only difference is that Pamantasan ng Lungsod ng Valenzuela (PLV) requires payment for the tuition fee.Both of the study aim to develop a system that will reduce the redundancy of student’s information, reduce the consumed time in enrollment process, and a fast retrieval of student’s records.

2. 2 Local Study Based on the newly implemented computerized enrollment process offered by the New CLSN Administration of Bataoy and Chua (2008) the study is aimed to know whether the implementation of the new computerized enrollment process is beneficial to students and employees. Data were collected from 100 respondents particularly 75 students and 25 employees through stratified sampling with equal allocation. Survey questionnaire were used to collect data from the respondents.The researchers used the descriptive analysis in interpreting and analyzing the data. Results showed that most of the respondents were in favor of its implementation.

The researchers found that it is more convenient, and economical. Payments will be done in the college registrar but staff and employees did not agree. The researchers found that the respondents wanted it to be implemented in the said university. This study deals with the newly implemented computerized enrollment process which offered by CLSU Administration before its implementation, doubts have prevented from becoming a realization. As time passes by, the necessity of the system is fully realized with is proven to be both beneficial to students, etc. Another study is about the applicability of the developed computerized enrollment system for selected private basic education school in Tanza, Cavite written by Abad (2004).The computerized enrollment system for selected private basic schools in Tanza, Cavite was developed in response to the problems encountered in the existing enrollment system.

The instrument used for collecting data was sets of questionnaire. The sample consisted of 50 respondents from 5 selected private basic education schools in Tanza. After the data was gathered, the SPSS program was utilized to analyze the data. The descriptive statistics which include the frequency, percentage, arithmetic mean, standard deviation, one-way ANOVA, LSD follow-up test and Scheffe test were used.Based on the assessment of the respondents, the system was highly applicable to concerned offices, the register and accounting offices. Therefore, the developed computerized enrollment system is proven functional and can be of great help during enrollment. They assessed the applicability of the developed computerized enrollment system using the 4 modules of enrollment system namely: The Inqueiry and Reservation System; admission system; payment system; and report-generation system. In view of these, the school administrators considered adapting the developed computerized enrollment system for their planning, forecasting and decision-making.

It can be used as an improvement/replacement of the existing semi-automated enrollment system to speed-up the processing of students enrollment. Just like the problems in other system, they replace the existing system with a new one so that is effective and applicable in this study. They used a set of questionnaire for collecting data. This data were passed through different methods to be analyzed. Aside from that, they developed a computerized enrollment system using four modules of enrollment system.

They also adopt quantitative approach of study which observed particularly in numbers. This will give way to use the sampling method wherein data are manipulated by means of getting only sample that can represent a whole. A good instance is an enrollment system wherein student’s population is much involved.By getting some portion in the population of students in every year level, they can achieve data by means of average answers. 3. 2.

Description of Participants Every data to be gathered has a proof from the respondents. Proponents interact on different participants which works are related to the design proposal, to gather relevant data from them. Director was the overall head of enrollment system of MRCLS. He deals with student’s evaluation and also has a list of copy of students enrolled and their respective payments from the reports of registrar and accounting department.By interview and observations, proponents will know current processes and transactions regarding enrollment activities.

On the other hand, registrar department manages master list of the students (new, transferee, old). The department was also assign in sectioning of the students. By the use of this information, proponents will gather data about sectioning and scheduling students. Another department that will help the design proposal is the accounting department.

Accounting department deals with payments of students. Breakdown of fees and data of student’s payments will help roponents to achieve the design proposal. In addition to that, selected parents and students will be an important participant since they are the main beneficiary of the design proposal. With the aid of surveys and sets of questionnaires about enrollment procedures, proponents will know problems regarding existing ES. 3. 3. Instruments Used in Study 3. 3.

1. Interview Sheets Provide set of questions done by interviewer to be answer by selected respondents. Different kinds of questions are indicated seeing as that proponents interviewed several kinds of personnel involve in the system.The following are directress, registrar and accounting department personnel since they are much involved in enrollment activities of MRCLS. 3. 3. 2.

Checklist A tabular form consist of existing hardware and software components of MRCLS. List of hardwares and softwares are indicated with each detail specification. Proponents also include processes and transactions involved in existing enrollment system of MRCLS.

3. 3. 3. Log Frame According to Will Allen and Irene Guijit (Nov. 1999), Log Frame stands for “Logical Framework”, is a simple method of tying goals and objectives into inputs, processes and outputs.

Proponents used Log Frame to indicate task to be done for the project in the specific allotted time by the Gantt chart. It was so useful for them because it can add another monitor material for the progress of the study. 3. 4. Procedures Used in Study Interview The first procedure used by proponents was interview. Interview was done thru directress, registrar and accounting department personnel. The directress was questioned about the schools background (history, mission and vision) and about the evaluation of the students.

In addition to that, current processes and step-by-step transactions were also done by the used of interview.These include registration of students and payments that were assigned to registrar and accounting department. Sectioning and scheduling of students were also revealed by registrar department to the proponents. 3. 5. Tabular Presentation and Analysis of Data In this part of study, data gathered through used of instruments and procedures as a methodology of study are present and analyze in a detailed tabular form. Table 3. shows the problems encountered by MRCLS in every enrollment schedule. It also includes times of occurrence of the problems, possible causes and particular solutions to the problems. The corresponding decision-makers are assigned in order to renovate and gain improvements in existing enrollment system. Table 3. 2 Users Involve in Enrollment System of According to the collected information of the proponents, table 3. 2 shows three main departments of MRCLS and their functions on existing Enrollment System. Director needs the form 138 (previous report card) of the new student for taking the examination.

If the student passed the examination, then requirements completion, evaluation and recording of data will follow. On the other hand, if it is old student, directress will only engage in evaluation of grades and verifying data of the student. Assessment slip will provide by the directress if the student bypass all requirements. The next step will be in accounting department.

Assessment slip that comes from the directress was the input for the students to involve in payments. Receipt will be the output in accounting department. Afterwards, receipt will be the input for the students for them to become officially enrolled. Table 3.

Breakdown of Fees in each Level of Student in Enrollment System of MRCLS Table 3. 3 shows the computation of the total tuition fees of student in respected year level. As the students’ year increases, the amount of tuition fees also increases. According to an interview with the Directress, it is increasing due to the need of the students. For instance is the Computer Fee where higher students’ year allotted more time on it. This breakdown of fees is fixed and may not change at all. Table 3.
