The main aim of this
project “Recruitment of Staff” is the implementation of a new staff recruitment
and as well as selection by reducing the recruitment cost and staff retention.
This will include full fledge recruitment and selection process from advertising

INTRODUCTION

The scope management
plan introduces the scope framework of recruitment of staff. This plan
documents the;

Scope management
approach, roles and responsibilities, defining of scope, verification and
controlling of scope and the project’s WBS.

The objective of this
project “Recruitment of Staff” is the implementation of a new staff recruitment
in subject to Project Management. This will include full fledge recruitment and
selection process from advertising, defining JD to on boarding of new staff
members.

All of the HR will be
utilized internally(in-house)with external sources that will be used only for advertisement
when required.

SCOPE MANAGEMENT
APPROACH

For project “Recruitment of staff”, management of
scope of project is the core duty of Project Manager. Basically, scope of our
project will be defined by the scope statement and WBS. The project manager,
sponsor & stakeholder will develop and approve documentation which will be
required for measuring the project parameters , that will include checklist of deliverable
quality and work performances measurements.

Scope changes in project will be initiated by the
Project Manager. All change requests will be evaluated by the Project Manager
first, in terms of cost and schedule. Upon seeing all factors and approved by
the CCB, the Project Manager will then 
submit this scope change request to the sponsor for acceptance.

After approval of scope change request from sponsor
the Project Manager will update all the  documents related to project “Recruitment of Staff”
and also communicate it to all stakeholders. The Project Sponsor will be responsible
for the acceptance of the final deliverable and project scope.

SCOPE DEFINITION

The scope for the
project “Recruitment of Staff” will be defined through comprehensive
requirements collection process. Firstly, a thorough analysis was performed on
current procedures of selection process and that was based on efficiency of
recruitment process.

From this above
information, the project team develop the requirements for making the
requirements documentation, requirement management plan and also the
requirements traceability matrix what we have to be done for new recruitment
and selection process.

PROJECT SCOPE STATEMENT

The project,
“Recruitment of Staff” scope statement will provide a detailed description of
project, deliverables, assumptions, constraints, exclusions and acceptance
criteria.

Recruitment of staff will
includes:

Identifying vacancy,
Evaluation, Developing JD, Developing Recruitment plan, Implementation of
recruitment plan, reviewing of applications, short-listing process and then
conduct interviews, select personnel whom to hire, and then finalizing of recruitment.

Basically, the
deliverable for the project is a process that what are the most effective ways
to find out the widest pool of applicants and to provide greatest opportunity
to select the best people for required roles in this project. This project will
be accepted by the sponsor when the recruitment and selection process will be
completed with skilled and qualified staff.

Internal workforce is
to be used for this project with external resources in as far as advertising. Additionally,
this project should not exceeds 90 days in a duration. Assumptions regarding
this project are that support will be provided by the sponsor and all managers
of respective departments and also the internal adequate resources will be
provided to accomplish the project deliverable.

WORK BREAKDOWN STRUCTURE

The work required to
complete the project “Recruitment of Staff” will be sub-divided into work
packages that will not exceed 40 hours of week. This will help the PM to more
manage the project work more effectively and within the project scope as the
project team works on the tasks for completion of project.

The project is
decomposed into three phases and these phases are then further decomposed into
work packages.

 

 

SCOPE VERIFICATION

As project
“Recruitment of Staff” progresses, the Project Manager will verify the project
performances/deliverables against the original scope as defined earlier in the
project scope statement, WBS.

Once the PM done with
the verification that the scope is meeting the requirements defined in the
project plan, then the PM and Sponsor will meet for formal acceptance of the
deliverable. During this meeting, PM will present the deliverable to the
Sponsor by signing a project deliverable acceptance document. This will ensure
that project work remains within the scope of the project on a consistent basis
throughout the life of project.

SCOPE CONTROL

The Project Manager
and the Project team will work together to control the scope of project “Recruitment
of Staff”. The team of project will also ensure that they perform only the work
described in WBS and they have also generated the defined deliverables for
each  WBS element.

Project Manager will
also see the project team and the progress of the project to ensure that this
scope controlling process is followed and progress is also documented/reported
through project scope measurements tools.

SCOPE CHANGE

If a change to project
“Recruitment of Staff” is needed, the process for recommending and required
changes to the scope of project must be carried out. Any project team member or
sponsor can request for a change in scope of project. All changes requests must
be submitted to the PM in the form of project change request document. The PM
will then review the suggested change to the scope of project.

The Project Manager
will then analyze the change request and decide whether to accept or reject the
change request. If rejected, and if it doesn’t apply to the contents of project
also then meeting of CCB Meeting between the team of project and sponsor to rview
the change request further and will perform an impact assessment of the change.
If change request is accepted by the PM then it will formally submit the
request to the sponsor.

If project Sponsor
approves the scope change then the PM will then formally accept the change by
signing the project change control document. After acceptance of scope change
by the sponsor and PM, the PM will update all project documents and communicate
the scope change to all project team members and stakeholders.
