Dear Sir/ Madam,

RE: PARTICIPATING IN THE SERVICE SATISFACTION SURVEY

The New York City Abused Women and Children Shelters is an established organization offering remedial and short term hosting for the abused in our society. We finance and oversee the abused women and children shelter programs for several residential areas within and outside New York City. In order to enable us work more efficiently and provide better services to these people in need, we have decided to undertake a survey to assess how the programs and the services in the shelters have been received in the community, find out the areas that need improvement and to determine the extent in which the programs and services have been of assistance to the targeted group.

Your participation in this survey by filling out the attached questionnaire will not only give us valuable information that would be useful in gauging how the stakeholders are satisfied with the services at the shelter, pin point out those areas that need more attention as well as helping us in the decision making and policy formulation areas of the entire program.

Note: Your response to this questionnaire would solely be used for research and not for any other purposes. We uphold personal privacy and handle your contributions according to the federal laws governing research.

If you have any questions or need further clarification in the course of the survey, be free to contact us through the address given above. Your contribution is highly appreciated and that we at the shelter will always strive to provide and maintain a stable and conducive environment for all.

Yours faithfully,

The Shelter Director,

Tommy Hurl.

How the questionnaire will be pre-tested

The questionnaire will be pre-tested with five probation officers through a hand delivered mail by the probation supervisor so as to cut the costs and ensure a same day response. The rationale behind is that this particular staff not only has working relations with entire staff but with the abused women and children in the shelters as well as their relatives and friends. Basically they are the most valuable connection within and outside the shelters.

Format to be used to collect the information

The appropriate format for the collection of data would be to use open envelops in which the respondents will put the filled questionnaires and seal them. The research assistant will distribute the questionnaires, wait for the respondents to answer and collect the sealed envelops. This will minimize the chances that the respondents will consult each other so as to give a modified and similar answer.
